Camp Leaders Awards 2025 – Terms & Conditions
1. Promoter
1.1 The promoter is Smaller Earth Limited (company no. 03859099) whose registered office is at 17 Mann Island, Liverpool, England, L3 1BP.
2. Eligibility
2.1 The competition is open to anyone aged 18 years or over, excluding employees of Smaller Earth (and their associated brands), their close relatives, and anyone otherwise connected with the organisation or judging of the competition.
2.2 There is no entry fee and no purchase necessary to enter this competition.
2.3 By entering this competition, each entrant is indicating their agreement to be bound by these terms and conditions.
2.4 Although anyone may submit a nomination or entry, all nominees and participants must have attended the Camp Leaders or American Camp Co. program during the summer of 2025 to be eligible.
2.5 No Smaller Earth staff members, family of staff members or brand affiliates (including brand ambassadors and interviewers) may partake in the competition.
2.6 Entries made through the use of bots, scripts, or any automated methods are strictly prohibited and will be disqualified.
3. Entry Process
3.1 Route to entry for the competition and details of how to enter are via Camp Leaders’ official social media accounts and the official Camp Leaders Awards 2025 landing page.
3.2 No social media company (including Facebook, Instagram, TikTok, or others) is partnered with or endorses this competition.
3.3 Entrants must complete the Camp Leaders Awards 2025 entry form via the third-party platform Fillout. Not completing all required steps accurately will result in the entry being void.
3.4 Only one entry will be accepted per person. Multiple entries from the same person will be disqualified.
3.5 No responsibility can be accepted for entries not received for whatever reason.
4. Award Categories
There are three award categories for the 2025 competition:
- Camp Counselor of the Year
- Support Staff of the Year
- Camp Moment of the Year (Sponsored by CHI)
5. Key Dates
5.1 Competition Opens: Wednesday 15th October 2025 (3:00 PM UK time)
5.2 Entries Close: Tuesday 21st October 2025 (3:00 PM UK time)
5.3 Shortlisting by Internal Panel: Thursday 23rd October 2025
5.4 Finalists Notified: Friday 24th October 2025
5.5 Public Voting Opens: Monday 27th October 2025
5.6 Public Voting Closes: Sunday 2nd November 2025 (6:00 PM UK time)
5.7 Winners Announced: Monday 3rd November 2025 (12:00 PM UK time)
5.8 Dates are subject to change; any updates will be announced as soon as possible by the promoter.
6. Judging Process
6.1 All valid entries will be reviewed by an internal judging panel made up of members of the Camp Leaders team and representatives from CHI (for the sponsored category).
6.2 Four finalists per category will be selected for the public vote.
6.3 The final winners will be determined by a combination of internal judging and public vote results.
6.4 The promoter’s decision in respect of all matters to do with the competition will be final and no correspondence will be entered into.
7. Prizes
7.1 Each category winner will receive:
- Camp Leaders Merchandise
- £150 Amazon voucher (or local equivalent)
- A limited-edition, personalised Camp Leaders Trophy
7.2 The Camp Moment of the Year Award, sponsored by CHI, will also include a $200 Expedia Gift Card provided by CHI.
7.3 Prizes are as stated and no cash or other alternatives will be offered.
7.4 Prizes are not transferable and may be substituted with another of equivalent value if necessary.
7.5 These prizes are provided by third parties and Smaller Earth accepts no responsibility for any changes made by those providers.
7.6 The promoter will liaise with the winners regarding prize distribution. Once distributed, responsibility transfers to the prize provider.
7.7 Any required dates in relation to the prize should be agreed with the promoter.
7.8 The winner will receive either a £150 Amazon voucher or a $200 Expedia voucher. The specific voucher awarded may vary depending on the winner’s country of residence and availability. Where applicable, an equivalent value in local currency may be provided. Prizes are non-exchangeable, non-transferable, and no cash alternative will be offered. The promoter reserves the right to substitute the prize with another of equal or greater value if circumstances beyond its control make it necessary to do so.
8. Notification of Winners
8.1 Winners will be notified by email and/or DM on Instagram/Facebook within 14 days of the closing date.
8.2 If winners cannot be contacted or fail to claim their prize within 7 days, a replacement winner may be selected.
8.3 The promoter’s decision is final and no correspondence will be entered into.
9. Publicity and Data
9.1 Winners agree to the use of their name and image in any publicity material, as well as their entry.
9.2 Personal data will be used solely in accordance with UK data protection legislation.
9.3 The winner’s name will be available 28 days after the closing date by emailing marketing@smallerearth.com.
10. Liability
10.1 The promoter is not responsible for any loss or damage arising from a winner’s inability to redeem a prize.
10.2 Except as required by law, all implied warranties and representations are excluded.
10.3 Liability is excluded for any costs, damages, or other losses except in cases of personal injury or death caused by negligence.
10.4 If any provision is deemed unenforceable, the remaining terms shall continue in full effect.
11. General Terms
11.1 The promoter may change or modify these terms at any time by posting updates.
11.2 The promoter reserves the right to cancel the competition under unforeseen circumstances.
11.3 The promoter is not responsible for inaccurate prize details supplied by third parties.
11.4 Failure to enforce any term does not constitute a waiver of rights.
12. Governing Law
This competition and its terms are governed by English law. Any disputes will be subject to the exclusive jurisdiction of the courts of England.
13. Disclaimer
13.1 This promotion is not sponsored, endorsed, or administered by Facebook, Instagram, TikTok, Expedia, Amazon, or any other third party.
13.2 You are providing your information to Smaller Earth Limited and its associated brands, not to any other party.

14. Intellectual Property and Content Use
14.1 Entrants confirm that all submitted content (stories, images, videos, or written statements) is original and does not infringe any third-party rights.
14.2 Entrants must ensure that they have obtained full permission to submit each image and story, including express consent from any individual(s) identifiable within the photograph or story.
14.3 Entrants must be the lawful owner of all rights, title, and interest in the submitted image(s) and story(ies), or otherwise have full authorization to submit them for use. By agreeing to these terms, entrants confirm that their submission does not infringe upon any third-party rights. Smaller Earth Group accepts no legal responsibility or liability for any claims, damages, or disputes arising from their failure to obtain the necessary permissions or ownership rights. Entrants agree to indemnify and hold Smaller Earth Group harmless against any such claims.
14.4 By submitting image(s) and story(ies), entrants grant Smaller Earth Group a worldwide, perpetual, royalty-free, and irrevocable license to use, reproduce, modify, distribute, and display their submissions across all Smaller Earth Group brands and entrants' visa sponsors for promotional and marketing purposes, in any format or media now known or later developed.
14.5 The promoter reserves the right to remove or disqualify any entry deemed inappropriate.
15. Data Protection & Third-Party Platforms
15.1 All data will be processed in accordance with the UK Data Protection Act 2018 and GDPR.
15.2 Data submitted via Fillout will be used only for the administration of the Camp Leaders Awards.
15.3 Limited personal data may be shared with CHI for judging and prize purposes.
15.4 By entering, participants consent to this data sharing.

16. Disqualification Rights
16.1 The promoter may disqualify any entrant who tampers with the entry process, provides false information, or damages the reputation of Camp Leaders or Smaller Earth.
16.2 The promoter’s decision regarding disqualification is final.
17. Public Voting Fairness
17.1 Public voting will take place via official Camp Leaders social media channels only.
17.2 The promoter reserves the right to remove fraudulent or automated votes.
17.3 The promoter may adjust or suspend voting to ensure fairness if misconduct is suspected.
18. Sponsor Disclaimer
18.1 The Camp Moment of the Year Award is sponsored by Cultural Homestay International (CHI).
18.2 CHI’s role is limited to sponsorship and participation in judging.
18.3 CHI bears no responsibility for competition administration or disputes.
19. Severability and Entire Agreement
19.1 If any provision is found to be invalid or unenforceable, the remaining terms will remain in effect.
19.2 These Terms and Conditions constitute the entire agreement between the entrant and the promoter.
